Important reminders
- Please note that Colloquium A and Colloquium B are scheduled at odd intervals.
- A program commented with (CA) is a Colloquium A session, featuring lectures by new assistant professors, lecturers
from outside facilities or the collaborative laboratories. The lectures by lecturers from outside facilities are jointly held with NAIST Granite Career Inovation Bridge.
- A program commented with (CB) is a Colloquium B session, which consists of presentations by Master's and Doctoral students.
- In Colloquium B, a student is allotted a time period as below for his/her presentation.
- A first presentation of a Master's student (M1): 90 minutes for a poster presentation.
- A second presentation of a Master's student (M2): 12 minutes for an oral presentation and 8 minutes for questions and answers.
- A midterm presentation of a Doctoral student (D2) : 20 minutes for an oral presentation and 10 minutes for questions and answers.

- For Colloquium A, please check the lecture information announced via e-mail and follow it since the lecture format and the method of submitting mini-reports may be different from lecture to lecture.

Students who are going to make a presentation must announce their presentation title and content at least a week in advance. Please go through the process to announce them. If you do not, your presentation may be cancelled.

The Second Master's Presentation & Midterm Presentation Program (2025/7)
(CB) The second oral presentation for spring-entry Master’s students and the midterm presentation for Doctoral students are scheduled to take place in July.

The First Master's Presentation Program (2025/11)
(CB) The first poster presentation for spring-entry Master’s students is scheduled to take place in November.

(CB) The second oral presentation for fall-entry Master’s students and the midterm oral presentation for Doctoral students are scheduled to take place in February.
Credit condition for Colloquiums A and B concerning students assigned to laboratories of the Information Science Division
- Colloquium A and B (Master's Program)
- Students enrolled in or before the 2024 academic year
- Attend at least 6 classes during the master's course, and make presentations and participate lectures.
Specifically, give two presentations at Colloquium B (one in M1 and the other one in M2 in principle). Attend at least four lectures by others except your own.
- According to Presentation Guidelines, the standard presentation format is as follows: the first Master’s presentation (M1) is to be a poster presentation, and the second (M2) is to be an oral presentation.
- It is recommended that students attend at least two sessions in M1 and at least two sessions in M2. The format of the presentations does not matter—either poster sessions or oral presentations are acceptable. Note that classes, which are less than 40 minutes long, are not counted as an attendance. See Presentation Guidelines.
- Students enrolled in the 2025 academic year
- Attend at least 8 classes during the master's course, and make presentations and participate lectures.
Details are provided below.
- Colloquium A: Attend at least three sessions and participate in the lectures.
- Colloquium B: Attend five or more sessions, including delivering your own presentation and participating in others’.
- Students are required to give two presentations, in principle one during M1 and one during M2.
- They must also attend at least three sessions other than their own and listen to the presentations.
- it is recommended that students attend at least three sessions during M1 and at least three sessions during M2. Note that classes, which are less than 40 minutes long, are not counted as an attendance. See Presentation Guidelines.
- Students must submit a mini-report
- Poster Presentations: Both presenters and attendees must submit their reports via the designated web form.
- Oral Presentations: Those attending in person must use the designated paper form and those attending online must submit their report via the web form (excluding presenters).
- The requirements for those who try to complete the course in the short term are the same in principle.
- Research Status Hearing (Doctoral Program)
- To give an interim report concerning the research in the presence of sub-reseacrh advisors (the attendance to other talks is not required).
- How many times has your participation been certified?
- If you want to confirm how many Colloquium A/B sessions have been credited toward your attendance, please contact your supervisor or the Information Science Office.
Presentation Guidelines for Colloquium B
Prepare your presentations as follows.
- Disclose your presentation title and abstract at least a week in advance. If you miss this deadline, your presentation may be considered canceled. Please make sure to meet the deadline strictly.
- An adequate abstract will make the audience understand well.
- Follow Procedure to diclose your presentation title and abstract for Colloquium B.
- Presentation time
- Master's 1st presentation (M1): Poster presentation: 90 min.
- Master's 2nd presentation (M2): Oral presentation: 12 min. Q&A: 8 min.
- Doctoral midterm presentation (D2): Oral presentation: 20min. Q&A: 10 min.
- Please consult with your supervisor in advance and carefully prepare your presentation to ensure that the following points are clearly addressed. Since the presentation will be made public, be especially mindful not to include any confidential content that may be related to patent applications.

- The points above are for the 2nd presentation but you must always be concerned about these points from the beginning.
- In case of difficulty with the assigned schedule, ask your supervisor to negotiate with the colloquium B staff for rescheduling.
- If a student is unable to give their first Master’s presentation (M1) as a poster presentation during the designated session, they may instead give an oral presentation during the next scheduled second Master’s presentation (M2) session.
- For example, if a student who enrolled in the spring (or fall) cannot present during the M1 session, they may give an oral presentation in the next available M2 session for fall (or spring) entrants. In this case, the time allocated per presenter will follow the standard time used for M2 oral presentations.

Procedure to disclose your presentation title and abstract for Colloquium B
In Colloquium B, students make a presentation of their own research. They must give a 1st presentation 6 month after enrollment, and a 2nd presentation a year later than the 1st one or 6 months before their graduation. Students must disclose the presentation title and abstract at least a week in advance. If they fail to do so, the presentation may not be admitted.
- Copy either of template-e.html (English only) or template-ej.html (English and Japanese) in the following directories, and create a file with the name [Student No.].html. For example, if your Student No. is 0461099, your file name must be 0461099.html.
- For Master's students who make the 1st presentation in Colloquium B:

- Open the file, fill out the title and abstract of your talk, and save the file.

follow the link of your presentation, and confirm that the information of your talk has been uploaded.
If you encounter any issues (e.g., if you are unable to upload), please first consult with your lab mates or senior students.
How to present at and attend poster sessions
The following points should be noted when presenting at or attending poster sessions.
- Presenters will be divided into two groups (Group A and Group B).
In the first half of the session, one group will present while the other participates as the audience. In the second half, the roles will be switched.
- The session will be held on the 1st floor of the Information Science Building (corridor in front of L1).
- Regardless of your group, please come to the venue and mount your poster on the designated board before the session begins. Below are examples for setting up your poster.
- You can check your assigned board location at the venue on the day. Double-sided tape will be provided on site.
- As a general rule, all presenters are expected to attend the full 90-minute session. Please also take time to listen to other presentations when you are not presenting.
- You may choose the format of your poster display. The following formats are acceptable (we recommend around 10 sheets of A4 or A3 paper):
- Attaching multiple printed slides (e.g., A4 or A3)
- Tiling a single poster across multiple sheets (e.g., A4 or A3)
- If you already have a large-format poster (e.g., A0 or A1) printed or plan to use one for another event, you may reuse it. However, please do not print a new large-format poster solely for Colloquium B.
- After the session, please remove any materials you have displayed and take them with you.
- All participants are encouraged to actively engage in discussions, both as presenters and as attendees.
How to present at and attend oral presentations in a hybrid format
The following points should be noted when presenting or attending, either in the classroom or online.
- Students will share their presentation screens in either the classroom or online using the Webex screen sharing function. Please carefully prepare and test the environment in advance so that they can share the screen and give a presentation with a mic.
If students wish to give their presentation from outside the classroom, please contact the chair in advance through your primary supervisor.
- When presenting/attending online, please be sure to log in to Webex with your NAIST account. Please include your name, lab, and grade in your Webex display name, as it will be used to confirm your attendance.
- Students attending online should mute their microphones when not in use. If you connect to Webex while listening to the lecture in the classroom, please make sure to mute your microphone.
- When you want to ask questions, please follow the chair's instructions. When speaking, please first state your student ID number and name.
- As a rule, participation is not permitted in a way that prevents participation in the Q&A session, such as using a friend's account or auditing through an academic channel.
- The lectures by new assistant professors will be recorded and uploaded to the library video archive later. However, viewing the video archive alone does not count as attendance.
Attending attitude
The first aim of Colloquium presentation is to widen your perspective and train your presentation and communication abilities.
In oral presentations, the chair calls on a questioner, who then gives their occupation and name, asks questions and presents opinions. The chair is responsible to control time.
Questions are categorized in two groups. One is to clarify the concept or how to interpret the data, which helps not only the questioner but also audience members from different study fields to understand the research. Another is to present your own opinion, idea, and future problems to be solved, and ask about solutions, which can be really helpful for the next research step. Discussion, pros and cons, also makes research more constructive and helps with progress.
Although in academic conferences and doctoral defense, it is understandable that you might hesitate to ask questions in crowds because of a lack of confidence in your own knowledge, the Colloquium is a place to train yourself and not a rehearsal for a conference. So do not hesitate to take advantage of discussion and debate.
Students who ask questions are exempt from filling out the mini-report if they indicate that they had previously asked a question. Please include your student ID number and name so that we can confirm your attendance.
Submission of mini-report for students
- Mini reports for attending poster presentations and oral presentations online must be submitted via the web response form by the end of the day. We will use Microsoft Forms for mini-reports submission, so please set up your Microsoft 365 cloud account so that you can use it (https://itcw3.naist.jp/ITC-local/cloud/microsoft365.en.html).
- Mini-report for poster presentations
- Presenters should include in their mini report both the Q&A from their own presentation and the Q&A from the presentations they attended during the session.
- Attendees should include the Q&A from the presentations they listened to during both the first and second halves of the poster presentation session.
- For students in the classroom, the form will be distributed by the chair at the beginning of the lecture. Please submit the form at the end of the lecture according to the chair's instructions.
- For students online, the mini-report needs to be submitted by the end of the day as instructed by the chair. Your attendance will also be confirmed in the Webex so please include your name, lab, and grade in your Webex display name, and in the mini-report. Please note that your report may not be accepted if it is inappropriate. The URL for the form will be in the same PDF as the the Webex links.
- Students who ask questions are exempt from filling out the mini-report if they indicate that they had previously asked a question. Please include your student ID number and name so that we can confirm your attendance.
- If a report contains inappropriate content, it may not be accepted. Furthermore, if any misconduct is found, the attendance for that session will not be acknowledged.
- For Colloquium A, please check the lecture information announced via e-mail and follow it since the lecture format and the method of submitting mini-reports may be different from lecture to lecture.
- The lectures by new assistant professors will be recorded and uploaded to the library video archive later. However, viewing the video archive alone does not count as attendance, so if you attend the lecture, please connect to Webex and submit the mini-report as described above.
